Create, edit, open and close challenges

A challenge is anything participants do for points in the app: a quiz, a photo, a puzzle, a QR scan at a station. Every challenge, whatever its type, shares one details form; each game type then adds its own content. This page covers the shared part.

Who can do this: Org admins create, edit, delete and reorder challenges. Score keepers can open the page and enter results (external game results, lottery draws, finalising likes, on-ground game results) but can’t change a challenge’s setup. Read-only users can look at everything but change nothing.

Where: Event → Content → Challenges

The Challenges switch in Modules turns challenges on for participants. If it is off, the sidebar shows Challenges as Off.

The left side is the challenge list, headed Challenges with a count. Above the list you can:

  • Search challenges… by title.
  • Filter by type (only when the event has more than one type).
  • Switch between All and Grouped. Grouped buckets the list by group label, or by week when there is none.
  • Import, Copy from another event and Create (org admins only). See Import and copy challenges.

Each row shows the type, points, the challenge’s window (“Opens …” while it hasn’t opened, “Until …” while it is open, “Closed …” after), and small icons: a team count when only some teams can see it, a lock when it unlocks after another challenge, and an eye when the challenge’s submissions are reviewed in Moderation. On-ground games are listed under their own On-ground games heading.

Click a row to open it on the right. The arrow at the top of the list collapses it to a strip of icons when you need more room.

Every challenge shows one status, in the list and at the top of its panel:

Status What it means
Needs Station UID A QR Scan challenge with no Station UID. It can’t go live.
Needs questions A quiz with no questions. It can’t go live.
Needs content A game whose content hasn’t been saved. It can’t go live.
Draft Switched off. Participants don’t see it.
Scheduled Live, but its Opens time is still ahead.
Live Participants can see and play it.
Locked by prerequisite Live and open, but the challenge it waits for isn’t live or scheduled, so nobody can unlock it.
Closed Its Closes time has passed. Participants no longer see it.

When anything stops a challenge reaching participants, a yellow summary appears above the list (for example “2 games with no content · 1 station without a Station UID”). Click it to expand, then click a line to open that challenge.

  1. Click Create.
  2. Under Choose a game type, pick a card. The cards are grouped:
    • In-person: Live quiz, and, when Competitions is on in Modules, Team result and Team + individual result (see On-ground games and rounds).
    • On phones: every app game, plus Photo, Video, Written Response, QR Scan and Custom. A type the event already uses shows Added.
    • Results you enter: External game and Lottery, which open their own short setup.
  3. Click Set up followed by the type name.
  4. Fill in the details form (below). Choose another type takes you back to the picker.
  5. Click Save challenge.

Game types and quizzes are saved as drafts, because they need their content first (unless Generate with AI drafted a quiz’s questions): the form says “It starts as a draft: add its content next, then Go live.” Photo, Video, Written Response, Custom and QR Scan challenges show a Go live when saved box instead. Untick it to save a draft.

Once saved, the challenge opens so you can add its content on the right: Quiz questions, Game content or Station setup, depending on the type. Each type’s page in Game types explains that part.

The form is split into headings. A field that doesn’t apply to the type isn’t shown.

  • Title.
  • Description. For Written Response this is labelled Prompt (shown to participants). For Custom, use it to say exactly what to submit.
  • Banner image: shown on the challenge screen.
  • Type: shown, not editable. A challenge’s type is fixed once it is created.
  • How to play: optional numbered steps, shown before Play. Leave it empty to hide the button. Use Add step and the arrows to build and order them.
  • Opens and Closes (both optional), picked in the event’s time zone. Leave Opens empty for “Any time” and Closes empty for “Never”. After it closes, participants no longer see it. If the challenge is in a daily rotation, these are read-only and set by the rotation.
  • Group label (optional), for example “Week 1”. It replaces the automatic week or month grouping on participants’ lists.
  • Visible to: pick teams to limit who sees it. Leave every team unselected to show it to all teams.
  • Team leader only: only each team’s leader can submit (see Choose a team leader).
  • Prerequisite (optional): the challenge stays locked until the participant has an approved submission for the one you pick. Choose None, always unlocked to remove it.
  • Points: what a completion is worth. For an external game this is a cap: each result’s points are set when results are published, up to this.
  • Scored per: Both (counts for the participant and their team), Individual or Team. See How points work.
  • Require moderation (Photo, Video, Written Response, Custom and QR Scan only). Off, submissions are approved at once and award full points. On, they wait in Moderation until you approve them (see Moderate submissions and photo IDs). Quizzes and games are always scored automatically, so they don’t have this switch.
  • Speed bonus (optional): extra points for finishing early in the window. It needs both Opens and Closes, or it is never awarded.
  • Beat the Captain (optional): awarded to a teammate who outscores their team leader on this challenge. Nothing is awarded until the leader has played. It does nothing on a team-scored challenge, and the form warns you.
  • Early-bird prize (optional): the first N to finish get extra points each. Empty both boxes to remove it.
  • Retakes: how many extra attempts a participant gets. 0 means no retakes; tick Unlimited for no limit. Not shown for QR Scan, external games, lotteries or a quiz you host live.

Only some types have these. They are described on each type’s page: for example Points mode for quizzes, Gallery and Camera only for photos and videos, Word limit for written answers.

What participants read when they finish, under “You scored N points”. Not shown for external games or lotteries.

  • Message (optional, up to 300 characters).
  • Button text and Button link (optional). Set both, or neither. The link opens in the phone’s browser.

Any field you leave empty uses the event’s result screen, which you set on the Modules page (see Result screen). A preview shows what participants will see.

  1. Click the challenge in the list.
  2. Change anything under Challenge details. A dot next to the heading means there are unsaved changes.
  3. Click Save changes.

Content (questions, game content, station setup) has its own save button in its own section. If you try to leave with unsaved changes, you’re asked Discard changes or Keep editing.

The Submissions link at the top of the panel opens Moderation filtered to this challenge, with a count.

The panel header has one button for this.

  1. To publish, click Go live. If something is missing, the button is disabled and a box lists what to do first, under Before it can go live: (for example “Add this game’s content.”).
  2. To hide it, click Take offline, then confirm. Participants stop seeing it straight away. Points already earned stay on the leaderboard, and you can go live again later.

A live challenge still only shows to participants inside its Opens and Closes window.

Drag a row by its handle to change the order. Dragging only works in the All view with no search or type filter.

  1. Open the challenge and click Delete challenge at the bottom of its details.
  2. Confirm. Its submissions go with it, and the points they earned leave the leaderboard. This can’t be undone.

To delete several at once, tick their boxes in the list, then use the bar that appears (Select all is there too). Challenges and on-ground games can be deleted together.
