What AI assistants can and can't do

Your AI assistant is given the same tools in OnStage whichever assistant you use. They’re built for setting up and adjusting events. Personal data, live scoring and moderation stay with people in the dashboard and the organiser app.

Who can do this: Org admins who have connected an AI assistant.

Where: In your AI assistant, once connected

Your AI assistant can look at your events as they are now: settings and modules, challenges, the schedule, info pages, Explore pages, polls, surveys, checklists, teasers, badges, awards, points multipliers, teams (names, colours and member counts, no member names), announcements (sent and queued), the leaderboard and the event’s summary numbers. It can also read its own drafts.

Ask it to read things back to check them: “What does the schedule look like now?”, “List the challenges in order”, “How many people have joined?”

Every change goes into a draft first (see Drafts, preview and publish). Your AI assistant can:

  • create a new event, or copy one you ran before into a new event (both start as drafts that nobody can join yet);
  • change the event’s details and branding: dates, venue, colours, logo and banner;
  • switch modules on or off;
  • write the info pages, the schedule and Explore pages, and put them in order;
  • create, edit, delete, reorder and switch challenges on or off, including quiz questions and game settings;
  • add challenges from a challenge pack, or copy challenges from another of your events;
  • create polls and surveys, checklists, teasers, badges, awards and points multipliers;
  • create teams (name, colour, capacity) and set a team leader;
  • set how the event appears in your app’s event list;
  • send announcements now, schedule them, and edit or cancel scheduled ones, up to 25 in one draft;
  • bring in an image from a public web link (JPEG, PNG or WebP, up to 10 MB), for a logo, banner or challenge picture;
  • check the event is ready to launch, and take it live or end it when you say so.
Your AI assistant can’t… Why
See or change participants’ personal data: names, contact details, the roster, documents, travel documents, photo ID Privacy. Personal data stays in the dashboard, where access is controlled and logged.
Give or take away points, settle battles, fixtures or championships, or enter results for on-ground games Live scoring belongs with your on-site staff and the organiser app.
Moderate submissions or the help desk Participant content needs a person’s judgement.
Delete events or media, or change the event code These can’t be undone and affect everyone at once.
Change your organisation’s app brand or join screen They’re organisation-wide, not one event. Your AI assistant can read them and tell you what’s wrong.
Manage staff, passwords, two-step verification or access tokens Account security stays with people.
Set up fixtures, battles, team goals, on-ground games, daily rotation, passes or photo frames Not built for AI assistants yet. Use the dashboard.
Put people into teams Team membership is participant data. Your AI assistant can create the teams; you assign people.
Use a file you attach in the chat It needs a public web link to the image. Or upload it in the dashboard.
Undo a published change in one step Ask it to make a new change that puts it back, or edit it in the dashboard.

When your AI assistant reads something a participant wrote, such as a name on the leaderboard, OnStage hands it over as quoted text, never as instructions. A participant can’t take control of your AI assistant by writing something clever in their name.
