Roles: who can do what

Every staff login has a role in its organisation. The role decides which pages appear in an event’s sidebar and which buttons work. A login that belongs to several organisations can have a different role in each.

Who can do this: Org admins set roles. Everyone else can only see their own.

The five roles

Score keeper	Enters results and points; hosts the live quiz.	Overview, Participants, Challenges, Fixtures, Moderation, Points, Team Goals, Battles, Championship, Leaderboard and Live Quiz.	Results for on-ground games, external games, fixtures and battles; lottery draws; checking team goals; the championship table; manual points; approving, flagging or removing submissions; hosting the live quiz. Not setting games up.
Station staff	Redeems passes and grants badges or awards someone already set up.	Overview, Participants, Badges, Passes and Awards.	Redeeming (and undoing) passes, granting badges, giving awards. Not creating them.

Outside an event, only admins see Create event, the event actions on the Events list (Go live, End event, Archive, Clone, Delete) and Staff in the account menu.

Note

The dashboard only hides what your role can’t use. The real check happens when you save: anything your role isn’t allowed to do is refused, whichever app you use. The same roles apply in the OnStage Organiser app.

What a restricted role sees

Anyone who isn’t an admin sees a line at the top of every event page saying what they can do, for example:

• Read-only: “You have read-only access: you can look at everything but can’t change anything.”
• Document uploader: “You can add participants’ papers — visas, passports, ID cards and passes. Open a participant to start.”
• Score keeper: “You’re a score keeper: you can enter results and points and host the live quiz, but not set games up.”
• Station staff: “You’re station staff: you can redeem passes and grant badges or awards, but can’t set them up.”

If you open a page your role doesn’t include (for example from a saved link), the page shows only “Your role (Score keeper) can’t open this page. Ask an org admin.” with your own role named.

On the Staff page, anyone who isn’t an admin sees “Only an org admin can manage staff”.
