Attendance and roll-calls

Attendance shows who is present and who is missing, one session at a time. The Arrival session fills itself as people are checked in at the door. You can start more sessions for roll-calls during the event, such as a morning muster or a bus departure.

Who can do this: Org admins start sessions, switch self check-in and mark people present. Read-only users can see every session.

Where: Event → People → Attendance

The Arrival session appears as soon as the first person is checked in, whether from their drawer on Participants (the Check in button) or with the OnStage Organiser app’s Check-in tab. See Check in participants. Until then the page says “No check-ins yet”.

You can’t mark people present on the Arrival session from this page. To check someone in by hand, open them on Participants and click Check in on their Check-in card.

The organiser app’s scanner can also take a roll-call; see Take a roll-call instead of arrival.

  1. Choose a session in Session. Each one shows how many are present out of the total, and “self check-in on” if participants can check themselves in.
  2. The header shows “… of … present” for that session.
  3. Narrow the list with Team, Company, Dealer or Tag.

Each row shows the person’s team, company, dealer, tags, status (Present or Absent) and when it was Recorded. Click a name to open that person on Participants. The list updates by itself as people are checked in.

  1. Click New session.
  2. Enter a Session name, for example “Day 2 Morning Muster”. You can leave it blank.
  3. Click Start.

The new session opens straight away, ready to mark.

  1. Choose the session in Session.
  2. Click Self check-in off to turn it on. It now reads Self check-in on; click it again to turn it off.

While it is on, participants see a Check in button for that session on the Attendance screen in the app. Self check-in isn’t available for the Arrival session.

On any session except Arrival, click Mark present on an absent person’s row. If someone else marked them a moment earlier, the page says they were already marked present.
