What OnStage is

OnStage runs engagement for live events: people join an event in an app, play challenges, earn points for themselves and their team, and follow a leaderboard. You set all of that up and run it from the organiser dashboard.

Who can do this: Everyone with an OnStage login. What you see depends on your role.

Where: The organiser dashboard, the participant app, the OnStage Organiser app and the public screens described below.

The dashboard is the website you sign in to with your email and password. It has two levels:

  • Outside an event: the Events list (all your organisation’s events), plus the account menu at the top right with All events, Staff (org admins only), Organisation settings, App event list, Change password and Sign out. See Staff logins and roles, App event list and join screen and Sign in and choose an organisation.
  • Inside an event: a sidebar with four groups: Content, People, Engagement and Ops. Each group holds the pages for one kind of work, for example Onboarding and Challenges under Content, or Participants and Teams under People. To jump straight to a page, use search.

A page that belongs to a feature you have switched off still opens, but its sidebar item is dimmed and tagged Off, and the page tells you “Participants can’t see this”. You can prepare content there before you switch the feature on. See Feature switches (modules).

Participants use a phone app to join your event, sign in, play challenges, see the leaderboard and read your announcements. They find your event by its event code (or a QR code), or pick it from the app’s list of events. Depending on your organisation, the app may carry a brand name of its own rather than “OnStage”.

What participants see in the app is controlled from the dashboard: the join and sign-in screens from Onboarding, the first screen from Home, and which features exist at all from Modules.

OnStage Organiser is a separate phone app for you and your staff on the day. You sign in with the same email and password as the dashboard and pick one of your organisation’s events. Its tabs are Overview, Check-in (scan people in at the door, see Check in participants), People, Leaderboard and Moderation, and its Overview tab opens many more tools.

Two links on an event’s Overview page open screens that need no sign-in:

  • Join poster: a poster with the event’s QR code, to print or put on a screen so people can join.
  • TV leaderboard: a full-screen leaderboard for a TV or projector. The link only shows while the Leaderboard module is on. See Leaderboard.

A QR Scan challenge also has its own Open public scan page link, a poster for the physical station.

Next: Your first event, start to finish.
