Reuse and replace images
An event often uses the same picture in several places: the logo, a sponsor’s artwork, a banner. You only need to upload it once. Every image field in the dashboard can pick from the images this event already uses, and an org admin can swap one image for a new one everywhere it appears in one step.
Pick an image the event already uses
Section titled “Pick an image the event already uses”Who can do this: Anyone who can edit the field the image goes in.
Where: Any image field in the event, for example Upload banner or Replace logo on the event’s Look, a badge or award icon, a team avatar, a photo frame, or a picture in a game.
- Click the field’s upload or replace button (for example Upload banner, Replace icon or + Add image). The image picker opens.
- Find the image. Under each one you see where the event uses it, for example “Event logo, Badge icon: Gold”. To narrow the list, type in the search box, for example
logoorsponsor. Click Show more if the event has a lot of images. - Click the image you want. The picker closes and the field shows it.
To use a picture the event doesn’t have yet, click Upload new at the start of the list and choose a file.
Some fields only take certain files. A photo frame needs a transparent PNG, for example. Images that won’t work in the field you’re editing are greyed out, with a note such as “Needs a PNG file.”
Replace an image everywhere it’s used
Section titled “Replace an image everywhere it’s used”Use this when artwork changes, for example a sponsor sends a new logo, and the old one appears in several places.
Who can do this: Org admins.
Where: Event → Ops → Storage clean-up, the Banners & avatars or Event content tab, Replace everywhere on the image’s row. The image picker inside a field doesn’t offer it, because saving the form you had open would put the old image back.
- Click Replace everywhere on the image you want to swap out.
- Pick the new image from the list, or click Upload new to upload it.
- Read the list. It says “This will change N places:” and names each one, for example “Event logo” and “Badge icon: Gold”.
- Click Replace in N places.
To pick a different new image before confirming, click Choose another.
If the new image can’t be used, the dialog says why before anything changes. For example, a photo frame needs a transparent PNG.
An image that is the scene of an object hunt or a spot-the-difference game, with targets marked on it, can’t be replaced here: the targets would sit on a picture they weren’t placed on. Change the image in that game’s own settings instead, and place the targets again.
After a replace
Section titled “After a replace”- Phones already showing the event switch to the new picture the next time they refresh the event, for example when the app is reopened.
- Only this event changes. An event copied from it keeps the old image.
- The old file stays in storage. To delete it, use Clean up stored files.
