Send an announcement

An announcement is one item that everyone you choose sees in the app’s Announcements, optionally with a push notification to their phone. Use it for news the whole event or a whole team needs. For a private note to particular people, use Messages instead.

Who can do this: Org admins. Read-only users can see what was sent and what is queued, but not send.

Where: Event → Ops → Announcements (also under Overview in the organiser app)

  1. Enter a Title and a Message. Both are required.

  2. Pick a Category: Update, Reminder or Emergency. An Emergency is tagged in red.

  3. Tick Pin to top to keep it above newer announcements until you unpin it.

  4. Choose the Audience:

    • All participants
    • A specific team, then choose the team
    • Specific participants, then search and tick each person

Estimated recipients shows how many people that is.

  5. Under When, leave Send now selected.

  6. Leave Also send as a device push notification ticked to push it to phones as well, or untick it for an in-app item only.

  7. Optionally, choose what it Opens: a screen such as Leaderboard or Challenges, or A specific challenge and then the challenge. The announcement shows a button to it, and tapping the push opens it. Screens whose module is off are not offered.

  8. Click Send to N participants.

A sent announcement can’t be recalled, so OnStage asks you to confirm before it goes to everyone, before any Emergency, and before anything that reaches more than 20 people.

  1. Write it as above, then under When click Schedule for later.
  2. Pick a date and time. The time is in the event’s own time zone, wherever you are.
  3. Click Queue announcement.

Scheduled announcements wait in the Queue tab on the right, with the time they will go. From there:

  • Click the send icon (Send now) to send one straight away, or the bin (Remove from queue) to cancel it.
  • Tick several, or click Select all, then use Send now N or Remove N.

The Sent tab lists every announcement with its audience, how many people it went to (counted when it was sent) and when. Click Pin or Unpin on any of them to move it to or from the top of the list in the app.
