The organiser app

OnStage Organiser is the phone app for you and your staff while the event runs: check people in at the door, look someone up, moderate, watch the leaderboard and run the live tools from the floor. It is one app for every organisation. Setting the event up (challenges, onboarding, the home screen, info pages and so on) happens on the dashboard.

Who can do this: Everyone with an OnStage login. You see only the tabs and tools your role can open (see Roles: who can do what).

Where: The OnStage Organiser app on your phone

  1. Open the app. On Organiser sign in, enter the same email and password you use on the dashboard and tap Sign in.
  2. If your login belongs to more than one organisation, pick one on Choose an organisation. You can switch later from your account.
  3. If someone else set your password, the app asks you to choose your own before anything else, then Save password.

The app never asks for an event code: it lists your own organisation’s events.

The first screen lists your organisation’s events, with All, Live, Draft and Ended tabs and a search box (Search by name or join code). Tap an event to open it.

From the same screen:

  • Tap your organisation’s name at the top for your account: Change password, Sign out, and Switch organisation when your login is in more than one.
  • Org admins can tap New to create an event (name, time zone, start, and optionally end, venue and description), and use each event’s ⋯ menu to Go live, End event or Reopen event, Copy it, or Delete a draft.
  • Org admins also get Staff logins, to add staff, change roles, reset passwords, switch someone off or remove them. See Staff logins and roles.

Inside an event, tap Events at the top left to go back to the list, or use the switcher in the Overview header to jump to another event.

  • Overview: the event’s hub. It shows the event’s status and dates, a search box (Search people, challenges, submissions…), anything that needs attention, the counts of People, Teams and Pending, the event code for org admins, and every tool listed below.
  • Check-in: scan participants in at the door. See Check in participants. Org admins only.
  • People: participants and teams. Add, edit or import people and teams, use Scan badge to see who someone is, review photo IDs, and add documents and travel documents. A person’s page has their points, team and check-in, and shortcuts to award points, redeem a pass or message them.
  • Leaderboard: who is ahead right now, for Individuals and Teams. Org admins can switch Show the leaderboard to participants here, and Hide the top places until the reveal with the number of Places hidden (see Hide the winners until the reveal).
  • Moderation: approve, flag or remove what was submitted. The tab shows the number waiting. See Moderate submissions and photo IDs.

Tools appear in three groups. A tool whose module is switched off for the event doesn’t appear, and neither does one your role can’t open.

Run the event

  • Announcements: announce something to everyone, or one team. See Send an announcement.
  • Messages: write directly to named participants. See Message participants directly.
  • Help desk: tickets raised from inside the app. See Answer help desk tickets.
  • Points: award points by hand and read the ledger, including Scan to award from a participant’s pass. See Award points manually.
  • Power play: windows that multiply points earned by playing. See Power play.
  • Polls: ask a question, close it when you have an answer. See Run polls, Q&A and surveys.
  • Q&A: what participants are asking, most-voted first.
  • Live quiz: host a quiz one question at a time, for example on the bus. See Host a live quiz.
  • Attendance: roll-calls, who’s here and who’s missing. See Attendance and roll-calls.
  • Checklists: who hasn’t finished a list, and message them. Read-only: checklists are written on the dashboard. See Track checklists.
  • Surveys: read the answers, and close a survey when it is done. Surveys are built on the dashboard.
  • Social wall: approve photos before they reach the wall. See Social wall.
  • Awards: plan the awards, then give them on the night. See Awards.
  • Live switches: turn Registration, Leaderboard, Top places hidden, Social Wall, Q&A, Games registration and Help Desk on or off for participants. It never hides when a module is off, so you can turn one back on. The full set of switches is on the dashboard’s Modules page.
  • Schedule: push back a session, or move its time or room. Adding, deleting and importing sessions stays on the dashboard (see Schedule).
  • Contacts: call or email the event’s own contacts. They are edited on the dashboard (see Contacts).

Competition

  • Challenges: go live, take offline, keep one open longer. Creating and editing challenges stays on the dashboard. See Create, edit, open and close challenges.
  • Station games: set up games, enter placings and publish them. The dashboard calls these on-ground games; see On-ground games and rounds.
  • Fixtures: schedule matches, score them pitch-side, then settle. See Schedule fixtures and settle predictions.
  • Battles: set up head-to-head team battles and settle them. See Battles.
  • Team goals: set goals, check which were met and award their points. See Team goals.
  • Rotations: move teams or groups of people round the venue’s stations. Name the Stations, in order, add the Groups (a team or people you pick), then Start rotation. Each Advance moves every group on to its next station; Finish rotation shows where everyone ended up. One rotation runs at a time, and only org admins can change it. This is not the dashboard’s Daily Rotation, which releases challenges over the days of an event.
  • Badges: create badges, and hand one out on the spot. See Badges.
  • Passes: Drink Pass, Photo Pass. Create and edit passes, redeem one at the counter and see the redemption history. See Passes.
