Moderate submissions and photo IDs
The Moderation page is the queue of everything participants have submitted: photos, videos, text answers and check-ins. Approving a pending submission awards its points. If the event collects photo IDs, the same page is where you verify them.
Who can do this: Org admins and score keepers approve, flag and remove submissions. Read-only users can see and download submissions but not act on them. Only org admins can see, verify or reject photo IDs; other roles don’t get the Photo ID button.
Where: Event → People → Moderation (also the Moderation tab in the organiser app)
Which submissions wait for you
Section titled “Which submissions wait for you”Whether a submission waits in the queue is set per challenge, with the Require moderation switch in the challenge’s settings (see Scoring):
- Off: submissions are approved at once and award full points. They still appear on Moderation as Auto-approved, so you can remove one later.
- On: submissions wait as Pending until someone approves them. In the challenge list, a moderated challenge is marked “Submissions wait for review in Moderation”.
QR Scan challenges use the same switch for their check-ins. Quizzes and the mini-games have no such switch: the app scores them itself.
The red number on Moderation in the sidebar is the count waiting for review. The page header shows it too, for example “12 submissions pending review”.
The tabs
Section titled “The tabs”- All: every submission.
- Pending: waiting for a decision, oldest first, so nobody waits longest. This is where the page opens.
- Approved: approved by hand and auto-approved.
- Flagged / Rejected: flagged and removed submissions. A submission you Remove is what this tab calls rejected.
Narrow any tab with the search box (“Search by participant or challenge…”), the challenge picker (All challenges) and the media picker (All media, Photo, Video). A challenge’s Submissions (N) link on the Challenges page opens Moderation already filtered to that challenge.
Review one submission
Section titled “Review one submission”- Click a submission to open it on the right. The panel shows who sent it, when, The challenge asked (the challenge’s description), and the photo, video or text.
- Choose what to do:
- Approve: accepts it and awards its points. The banner says how many, for example “Submission approved — 50 pts awarded.”
- Flag: marks it for a second look. Only a pending submission can be flagged. A flagged one can still be approved later.
- Remove: takes it out. You are asked to confirm first. Removing an approved submission asks “Remove this submission and take back its points?” and does take the points back.
- For Flag or Remove, you can add a Note (optional) first. It is kept with the submission.
After each decision, the panel moves on to the next pending submission, so you can clear the queue without going back to the list.
Approve or download many at once
Section titled “Approve or download many at once”- Tick the submissions you want, or click Select all. Once the whole page is ticked, Select all N picks every match across all pages.
- On the Pending tab, click Approve N. The button counts up as it works. If some fail, they stay ticked with “… approvals failed — still selected, click Approve to retry.”
- To save the files, click Download N selected. With nothing ticked, the button reads Download all N and takes every photo and video on the page you are looking at. They download as one zip file.
Review photo IDs
Section titled “Review photo IDs”When the event collects photo IDs, the top of the page has two buttons: Submissions and Photo ID.
- Click Photo ID. The tabs are All, Pending, Verified and Rejected.
- Click a person to see the Front and Back of their ID. Each side has its own Download.
- Click Verify to accept it, or Reject to turn it down.
- When you reject, you are asked “Reject name’s photo ID?”. “They will be asked to upload it again.” You can give a Reason (optional), which the dialog says they see in the app, for example “Blurry — retake in good light”.
You can also verify or reject a photo ID from the participant’s drawer on Participants. See Photo ID and documents.
