Teams and sub-teams
Teams are the groups participants play and score in. Each team can have one team leader. If you switch on Sub-teams, participants can also form small groups inside their own team, each led by a captain.
Who can do this: Org admins. Read-only users can look at teams and sub-teams but not change them.
Where: Event → People → Teams
Create a team
Section titled “Create a team”- Click Create team (or the New team card).
- Enter a Team name, pick a Team colour, and optionally set Capacity (optional). Leave capacity blank for no limit.
- Click Create team.
Edit or delete a team
Section titled “Edit or delete a team”- To edit, click the pencil (Edit team) on the team’s card. You can change the Name, Color (the team colour), Team logo and Capacity (optional), then click Save.
- To delete, click the bin (Delete team) and confirm. Its members aren’t deleted; they become unassigned.
- To delete several, tick their cards and use the bar that appears.
When a team reaches its capacity it shows Full and its Add participant button disappears. Moving someone into a full team is refused, with a message naming the team.
Add and remove members
Section titled “Add and remove members”- On a team’s card, click Add participant, search for the person, select them and click Add participant. Someone already in another team moves to this one.
- To take someone out, click the × beside their name, then the tick to confirm. They stay in the event without a team.
- You can also assign teams from Participants, one person at a time or in bulk. See Add, import and edit participants.
Each card shows up to five members; click Show all … members for the rest. Click a name to open that person on Participants.
Choose a team leader
Section titled “Choose a team leader”A team leader can submit team-leader-only challenges for their team. A team has at most one.
- On the team’s card, click the crown beside the member’s name.
- They get a Leader badge (the drawer calls this person the team leader). If the team had a leader before, that person stops being leader.
A team with members but no leader shows No leader. You can also use Make team leader on the Team card in a participant’s drawer.
When a leader moves to another team or is taken out of their team, they stop being leader, and the old team has no leader until you choose one.
Message a team
Section titled “Message a team”Click the speech bubble (Message team) on a team’s card to send every member a direct message. See Message participants directly.
Import teams
Section titled “Import teams”- Click Import.
- Either paste a roster under ✦ AI (paste anything) and let it group people into teams, or click JSON file and drop a file.
- Check the preview: each team with its number of members. Click a team to see who is in it.
- Click Import … teams.
The result shows how many teams and participants were created, and lists any people skipped because their Unique ID or email already belongs to someone in the event.
A JSON file must contain a teams list. Each team has a name, and can have a color (a hex colour such as #E65100), a capacity and a participants list. Each participant has a name, and can have a participant_code (their Unique ID), email, phone, organisation and is_leader (true for the team’s leader):
{ "teams": [ { "name": "Team Alpha", "color": "#E65100", "participants": [ { "name": "Alice Smith", "participant_code": "P001", "is_leader": true }, { "name": "Bob Jones", "email": "bob@example.com" } ] } ]}A file can hold up to 100 teams. A team whose name already exists (ignoring capitals) is reused, not duplicated. People whose Unique ID or email is already in the event are skipped, not moved.
To import people and teams together from a spreadsheet instead, use a CSV import on Participants with a team_name column.
Sub-teams
Section titled “Sub-teams”Participants make sub-teams themselves, in the app, inside the team they belong to. Whoever creates a sub-team becomes its captain. If the captain leaves, the member who has been in it longest takes over, and a sub-team with nobody left in it disappears. A sub-team’s points are the total of its members’ own points; nothing extra is awarded for them.
You don’t create sub-teams in the dashboard; you can see them, rename or delete them, and change the captain.
Switch sub-teams on
Section titled “Switch sub-teams on”- Make sure Teams is on (Content → Onboarding, Team step).
- Go to Content → Modules and switch on Sub-teams in the Competition & season group. See Feature switches (modules).
- On the Sub-teams card on the same page, set Max size (1 to 500 people, captain included), or tick No limit. Lowering it never removes anyone; a full sub-team just stops taking new members.
- Optionally switch on Let participants join without a code. They then see the sub-teams in their own team that still have space. Otherwise they join with a sub-team’s invite code.
Look after sub-teams
Section titled “Look after sub-teams”Open People → Teams and click the Sub-teams tab. Sub-teams are grouped under their parent team; use the team filter to see one team’s. Each card shows the members, their points, and the sub-team’s points and rank.
- Rename: click the pencil, change Sub-team name and click Save. Two sub-teams in the same team can’t share a name.
- Change the captain: click the crown beside a member. They get a Captain badge.
- Delete: click the bin and confirm. Its members leave the sub-team but stay in their team and the event.
Badges on a card: Full when it has reached the max size, No captain when it has members but no captain, and Invite only when its captain has closed it to joining without a code (the invite code still works).
If Sub-teams is off, the tab says “Sub-teams are off” with an Open Modules button.
