Run-of-show checklist
A checklist to work through on the day. Each line names the page to use. Tick them off in order; most take a minute.
Who can do this: Org admins, for most of it. Score keepers can moderate and host the live quiz.
Where: The dashboard and the organiser app
The day before
Section titled “The day before”- The event is set up. Challenges, onboarding, the home screen and info are done. See Set up your event and Challenges & games.
- The right modules are on. Any sidebar page tagged Off is invisible to participants. Turn on what you need in Modules. See Feature switches (modules).
- Staff have logins and the right roles. Only the Admin role can check people in, so door staff need it. See Staff logins and roles and Roles: who can do what.
- Staff have the organiser app, have signed in once and can see the event. See The organiser app.
- Scheduled announcements are queued. Check the Queue tab on Announcements. See Send an announcement.
- The live quiz is set up for hosting, if you’re running one. See Host a live quiz.
Before doors open
Section titled “Before doors open”- The event is live. On Overview, the status is Live. If it still says Draft, click Go live: participants can’t join a draft event. See Event overview and going live.
- The event code works. Note the Event code on Overview and try it in the participant app.
- The Check-in tab scans. Allow the camera on each door phone and scan a test pass. See Check in participants.
- Public screens are up: the Join poster and the TV leaderboard, both linked from Overview. See Public screens.
While the event runs
Section titled “While the event runs”- Doors: scan people in. Use Find by name for anyone without their pass. Watch the “N / N in” count. See Check in participants.
- Moderation: keep the Pending tab short so people get their points. See Moderate submissions and photo IDs.
- Help desk: check Needs reply regularly. See Answer help desk tickets.
- Announcements: tell everyone about changes as they happen. See Send an announcement.
- Direct messages: chase individuals with Message participants directly.
- Live moments: run the live quiz, polls and Q&A.
- Stuck participants: someone blocked on a new phone is released on Security. See Blocked sign-ins and stuck devices.
As it ends
Section titled “As it ends”- Close what’s still open: polls, surveys and the live quiz.
- Give the awards and settle any results, then check the final leaderboard. See Awards, Battles, Schedule fixtures and settle predictions and Leaderboard.
- End the event on Overview with End event. Its code stops working and it leaves the app’s event list. See End the event.
- Export what you need with Export your data, then tidy up. See After the event.
