Confirmation codes
For changes that reach people, your AI assistant needs your approval in the form of a code. The code appears only in your OnStage dashboard, never in the assistant, so it can’t approve its own changes.
Who can do this: The org admin whose AI assistant asked for the code.
Where: Dashboard notifications (the bell, top right)
When a code is needed
Section titled “When a code is needed”| Situation | Code needed? |
|---|---|
| The event is still a draft (nobody can join yet) | No. Your AI assistant publishes as soon as you say so. Most event setup happens this way. |
| Taking the event live, or ending it | Always, even from a draft. |
| Any announcement: sent now, scheduled, or editing or cancelling a scheduled one | Always. Announcements reach people’s phones and can’t be taken back. |
| The event is live | Always, for any change. |
| The event has ended | When a change touches something participants already used, changes points or scoring, deletes something, or changes a hidden value such as a station code. |
If a draft event goes live between your AI assistant asking to publish and publishing, a code is needed after all.
Publishing from the dashboard’s Pending changes page never needs a code.
Approve with a code
Section titled “Approve with a code”- Your AI assistant tells you a code is waiting.
- Open the notifications (the bell) in the OnStage dashboard. The code is under Publish confirmation code.
- Read what it approves. Under the code, OnStage lists, in its own words, how many changes of each kind the draft holds, whether the event is going live, why it affects live data, and what can’t be undone, such as who each announcement goes to. The draft’s title was written by your AI assistant, and the notice says so. Click Review the changes to see every change.
- If you approve, click Copy code and paste it to your AI assistant, or type it. It’s 8 characters.
If you didn’t expect a code, or don’t approve, don’t give it to your AI assistant. Nothing happens without it.
How codes work
Section titled “How codes work”- A code expires after 5 minutes. An expired code is crossed out and marked Expired.
- A code works once.
- One code covers the whole draft, however many changes are in it. Twelve scheduled announcements need only one code.
- If your AI assistant adds or removes a change after the code was sent, the code stops working and it needs to ask for a new one. A code only ever approves exactly what you were shown.
- A code works only for the connection or token that asked for it. It doesn’t work in another connection or in the dashboard.
- A code is sent to your notifications whatever your notification settings are.
