Photo ID and documents

Three things about one person’s paperwork live together: the photo ID they upload when they register, the documents you share with them, and the agreements they accepted while joining.

Who can do this: Org admins review photo IDs, and only they see the Photo ID queue. Org admins and document uploaders add and remove documents. Everyone who can open Participants can see them.

Where: Event → People → Moderation (Photo ID), and a participant’s drawer on Event → People → Participants

When photo ID collection is on, newcomers photograph the front and back of an ID card while they register. You switch it on at Content → Onboarding, on the Photo ID step.

  1. Go to People → Moderation and click Photo ID at the top. (The same steps are on Moderate submissions and photo IDs.)
  2. The Pending tab shows the ones waiting for you; the page says how many are pending review. All, Verified and Rejected show the rest.
  3. Click a card to see the front and back larger.
  4. Click Verify to accept it, or the × (Reject photo ID) to turn it down.

To keep copies, click the download icon on a card, or use Download all … (or Download … selected after ticking cards, or Select all). Download all … downloads the photo IDs on the current page of the tab you’re on (20 at a time); page through to download the rest.

Once someone has uploaded a photo ID, their drawer on Participants has a Photo ID card. It shows the status (pending, verified or rejected), when they submitted it and when it was decided, any note, and the front and back images. Admins see Verify and Reject there too, and All photo IDs, which takes them to the Moderation queue.

  1. Click Reject (or the × on a card in Moderation).
  2. Optionally write a Reason (optional), for example “Blurry — retake in good light”. The participant sees it in the app.
  3. Click Reject.

The participant is asked to upload it again. On their profile in the app they see “Not approved:” followed by your reason, or, if you left it blank, a request for clearer photos.

The Documents card in a participant’s drawer holds files and links you share with that person only, such as a workshop pack or an invitation letter.

  1. Open the participant’s drawer on Participants.
  2. On the Documents card, click Add.
  3. Enter a Title.
  4. Choose a Type:
    • Link: enter the URL. It must start with https://; a plain http:// link is refused.
    • PDF upload: choose the PDF under File. It uploads straight away.
  5. Click Add document.

Click a document’s title to open the link or download the PDF. To take one away, click its bin icon and then Remove.

In the participant app, these show on the person’s documents screen, reached from the Documents tile on Home (the tile can have another name in your app), together with their travel documents.

If your onboarding includes an agreement screen (a code of conduct, waiver or media consent), each participant’s drawer has an Agreements card listing the agreements they accepted, the version, and when. The card only appears once they have accepted at least one. You add agreement screens on Content → Onboarding. See Add your own screens. Agreements accepted also appear in the participants export; see Export your data.
